A Glimpse of the Job
The Administrative Coordinator I works under general supervision, and is responsible for overall office management, which includes scheduling appropriate meetings and ensuring dates are calendared, submitting credit card reports, and supervision of student workers. Serves as a liaison to board of directors, and resource and central communications contact for information relative to OPAS programs, etc.
Essential Duties/Tasks:
Office Management
Coordinates the maintenance of files, documents, and records.
Coordinates inventory and maintenance of office supplies and equipment.
Coordinates logistical arrangements for staff events and meetings.
Serves as Credit Card Report delegate. Tracks credit card expenses and submits credit card reports for the office.
Coordinates travel arrangements and assists in reporting travel for the office.
Coordinates and maintains calendars. Maintains RSVP list for special events.
Provides accurate information for patrons and donors.
Acts as primary contact for Executive Director. Monitors office procedures.
Provides technical information regarding administrative services.
Represents OPAS Staff in meetings as needed.
Applies and interprets, and/or assists in implementing management policies or operating practices.
Coordinates logistical arrangements for staff events and meetings.
Makes recommendations for process improvements, administrative changes, or new initiatives.
Keep OPAS staff updated on office management projects and tasks, and follow-up as needed
Secretary, OPAS Board of Directors
Serves as a liaison to board of directors and division administration, and resource and central communications contact for information relative to OPAS programs, etc.
Is responsible for dissemination of reports, record management, research, and reporting.
Sends correspondence to the board.
Creates board notebooks.
Prepares appropriate reports for meetings and disseminates information.
Supervisor, Student Workers
Hires, schedules, trains and supervises student workers.
Oversees student worker tasks and ongoing projects closely with follow-up as needed.
Updates the student worker handbook as needed and disseminates the updates to the student workers.

Salary: $45,000 annually

Required Education and Experience:
Bachelor’s degree or equivalent education and experience.
Two years of experience in office administration.
Preferred Qualifications
Experience with Aggie Buy and Emburse systems.
Knowledge, Skills, and Abilities
Knowledge of word processing, spreadsheet, and database applications.
Verbal and written communication skills.
Ability to multitask and work cooperatively with others.
