About the Role: 

Reporting to the Administrative Manager, the Administrative Coordinator is responsible for providing a wide variety of administrative support services to all aspects of Dean’s office such as data maintenance and record keeping. The incumbent will ensure the successful planning, implementation, and completion of special projects, contributing to the overall effectiveness and achievement of the Goodman School (GSB) goals.   

 

The Administrative Coordinator will:  

  • Serve as the primary point of contact at the front desk, greeting visitors, answering inquiries, and directing them to appropriate personnel or departments;   

  • Assist with scheduling appointments and meetings, including room reservations and equipment setup, and catering orders;   

  • Attend faculty meetings, GSB committees’ meetings, and administrative sessions;   

  • Capture accurate and comprehensive meeting minutes, documenting key discussion points, decisions made, and action items;  

  • Coordinate and prepare all confidential correspondence pertaining to student academic misconduct;    

  • Assist in the preparation of materials for meetings, including agendas, briefing documents, and follow-up action items;  

  • Support special projects and initiatives as assigned by the Associate Dean, ensuring deadlines and objectives are met;  

  • Coordinate logistics for events, workshops, and conferences;   

  • Support communication efforts related to the project, including drafting communications, presentations, and reports;   

  • Track and update part-time teaching budget vs actual comparison file;   

  • Maintain and consolidate faculty workload by periodically distributing to Chairs for changes and consulting with the faculty Financial Manager on outstanding recoveries for service and research release time stipends, and teaching overload contracts not created or deferred;  

  • Maintain organized and accessible records of meeting minutes and related documentation for future reference and compliance purposes;   

  • Regularly update and manage databases containing crucial organizational information, such as personnel records, project files, and administrative documents.  

Key Skills and Experience:

  • Relevant University degree (e.g., Business Administration, Education, Psychology, Communications, Social Sciences) or the equivalent combination of education and experience;   

  • Administrative support experience, preferably in a university environment;   

  • Excellent writing, grammar and proofreading skills;   

  • Extensive knowledge of university, faculty, department, and with a proven ability to remain current to serve as an effective resource;   

  • Knowledge of applicable collective agreements;   

  • Knowledge of finance and basic accounting;   

  • Solid computer competency including MS Office (Word Processing, Excel spreadsheets, Outlook, PowerPoint, Adobe Acrobat), Workday, Brock DB;   

  • Strong customer service skills;  

  • Strong coordination and time management skills;    

  • Excellent attention to detail with a high degree of accuracy;   

  • Effective written, verbal, listening, and interpersonal communication skills, including the ability to exercise tact, discretion and confidentiality.   

 

Preferred or Asset Skills:  

  • Experience in project coordination and records keeping. 

 

Salary and Total Rewards:  

  • Job Grade OSSTF I, Salary Scale ($46,814-$64,939)*;  

  • This is a permeant position that includes full comprehensive benefits including tuition waiver.  

  • This position will be required to work on site 5 days per week.   

This position is included in the Ontario Secondary School Teachers Federation (OSSTF) Union and:  

  • Salary is therefore determined by the OSSTF Collective agreement. *  

  • New members shall be placed on the salary grid at the entry level.
