Individuals must have the ability to manage multiple projects in a fast-paced environment, experience in managing a busy desk, scheduling, and assisting with various tasks. 

The salary for Administrative Assistant roles is $24.00 to $38.50 depending on relevant years of experience, skills, and expertise.

What You Will Do

  • Calendar Management: Maintain and organize the executive's calendar, scheduling appointments, meetings, conferences, and other events. Prioritize and manage conflicting demands on the executive's time, ensuring they are well-prepared for each engagement.

  • Communication: Act as the primary point of contact for internal and external inquiries addressed to the executive. Draft and proofread emails, letters, reports, and other documents on behalf of the executive. Manage incoming calls and messages, prioritizing and relaying information as required.

  • Meeting Coordination: Coordinate and schedule meetings, including booking venues, arranging video conferences, and preparing meeting materials. Attend meetings, take minutes, and distribute them to relevant stakeholders.

  • Travel Arrangements: Plan and organize domestic and international travel for the executive, including flights, accommodations, and transportation. Prepare detailed itineraries and ensure the executive's travel arrangements run smoothly.

  • Administrative Support: Handle administrative tasks such as filing, record-keeping, and expense tracking. Maintain an organized filing system, both physical and digital, for easy retrieval of documents.

  • Confidentiality and Discretion: Handle sensitive and confidential information with the utmost discretion. Maintain confidentiality in all matters related to the executive's work and personal life.

  • Project Support: Assist the executive in managing various projects by coordinating deadlines, tracking progress, and providing necessary support.

  • Relationship Management: Build and maintain positive relationships with key stakeholders, including clients, partners, and other executives.

  • Event Planning: Assist in organizing and coordinating company events, conferences, and other functions.

  • Research: Conduct research on specific topics, as requested by the executive, to provide relevant and timely information.

  • Miscellaneous Tasks: Handle ad-hoc tasks and projects assigned by the executive, demonstrating flexibility and adaptability. May scheduled personal travel, appointments, and perform common PA tasks as needed.
     

What You Will Need

  • Bachelor’s degree strongly preferred

  • 4+ years of prior administrative assistant experience

  • Ability to liaise with key senior-level executives

  • Able to review and understand contracts

  • Ability to liaise with internal staff at all levels and external clients & partners

  • Capable of managing several projects simultaneously with minimal supervision

  • Previous experience managing an executive desk preferred

  • Highly professional with excellent judgment and discretion

  • Excellent communication skills - both written and verbal

  • Ability to work in a dynamic and in a fast-paced environment

  • Can-do, positive attitude and willing to “go the extra mile”

  • Critical attention to detail and highly organized

  • General business knowledge and interest in Music and Entertainment business essential
