PRIMARY OBJECTIVE:

This position is responsible for performing a variety of administrative and clerical tasks to support the US Country Office.

RESPONSIBILITIES:

  • Schedule and arrange appointments, meetings and events, coordinating meals and catering as required.

  • Review and respond to e-mail and voice mail to ensure work tasks and issues are completed/resolved in a timely manner.

  • Greet guests to the office, ensuring that they sign in upon arrival and sign out upon departure

  • Accept and distribute mail and packages for the office

  • Arrange travel, accommodations and logistics and prepare travel itineraries

  • Order office supplies and maintain inventory for the US Country Office

  • Facilitate new hire orientation and onboarding and assist new hires with onboarding tasks in the HRIS

  • Take and upload pictures into the HRIS for all US Country Office employees

  • Provide administrative support as necessary for Human Resources, Legal and the Vice President

  • May be asked to undertake other related duties and/or projects as required

QUALIFICATIONS:

Experience & Education/Training

  • High school diploma or equivalent

  • 2 – 3 years of experience in an office administration capacity

Knowledge, Skills, and Abilities

  • Excellent computer skills in Microsoft Office

  • Proven interpersonal, communication and customer service skills

  • Ability to set work priorities and multi-task, while maintaining a high level of accuracy and attention to detail

  • Strong organizational skills

  • Ability to work independently, as well as collaborate with a team
