Job Summary:
Bucknell University's Freeman College of Management invites applications for an Administrative Assistant to support the mission and daily operations of the Office of Experiential Learning. This position provides essential administrative, logistical, and communications support to advance experiential programs that connect students with meaningful real-world learning opportunities.
The Administrative Assistant serves as a key point of contact for students, faculty, and external partners, ensuring efficient office operations and delivering exceptional customer service. The ideal candidate is highly organized, detail-oriented, and proactive, with strong communication skills and a commitment to collaboration, inclusivity, and service excellence. Job Duties:
What You Will Do:
- Supports daily operations in the Office of Experiential Learning, including scheduling meetings, updating calendars, creating reports, and maintaining inventory of office supplies, maintaining records, and engaging with students. Coordinates the work of student employees to ensure office coverage and consistent office staffing
- Provides administrative support and exceptional customer service including working with vendors, greeting visitors and guests, and creating correspondence. Serves as a point of contact for departmental operations, both internally and externally. Participates in office initiatives and prepares documentation for memberships, workshops, and conferences.
- Coordinates preparation, setup, materials and logistics, including travel logistics, for programs, luncheons, and other meetings. Arrange guest speaker travel and itineraries. Supports team with expense reporting.
- Coordinates and provides support for staff searches, hiring, onboarding, and exiting. Processes and coordinates student payroll on-boarding, compensation changes, etc. Tracks and updates office locations, contacts, and special needs.
- Creates content for, and updates social media and webpages; designs, publishings and distributes a weekly e-newsletter and marketing materials.
- Attends and assists with field trip logistics.

What You Will Bring:
Required Qualification:
- Education: HS Diploma or GED
- Work experience: 2 years, Administrative or related experience
Preferred Qualifications:
- Education: Associate’s degree
- Work experience: 4 years, Administrative or related experience
- Experience in education preferred; Higher Education a plus.
- Experience providing travel and event logistical and administrative support
Required Knowledge, Skills and Abilities:
- Demonstrated analytical and critical thinking skills;
- Project/program management skills. Proactive approach to projects, problem solving, communication needs, and planning
- Strong written and verbal communication skills.
- Demonstrated knowledge of computers and software including word processing, spreadsheet, email and calendaring applications.
- Exceptional customer service skills, strong attention to detail, and ability to prioritize deadlines and successfully manage multiple priorities
- Ability to handle sensitive confidential information in a responsible and appropriate manner
- Must be able to work independently as well as in a team environment.
- Demonstrated ability to positively interact with a wide range of individuals and a commitment to diversity and inclusiveness
- Proficiency with, or interest in learning, managing social media accounts (FB, LinkedIn, Instagram)
Travel Demands: Some overnight travel required
Working Environment:
- Office environment / no specific or unusual physical or environmental demands.
- Must be able to travel with or without accommodations. Requires travel beyond the regular business day and/or overnight outside of regular business hours, to locations such as NYC, DC, and San Francisco.
- May require a flexible schedule that aligns with guest speakers and program events on evenings and weekends as needed.
- Must be able to remain in a stationary position for extended periods of time; operate a computer and use a mouse/keyboard for long periods of time.
- Must be able to move about the office to access file cabinets and office machinery such as copiers and printers.
- Must be able to work in a demanding environment with multiple competing deadlines and frequent interruptions
Work Type: This position is a full-time, non-exempt, benefits-eligible staff position.

The offer rate will be based on a review of the candidate's credentials compared to the qualifications of the position, internal equity, and our overall compensation philosophy.
