Ivy Graduate Programs
The Ivy College of Business Graduate Programs Office at Iowa State University is seeking an Administrative Assistant I. This position will provide administrative support in a multi-function, high traffic office serving graduate students, staff, faculty and guests. We also regularly interact with prospective students, alumni and other visitors to the College.
This position supports the Administrative Assistant II and the greater Graduate Programs divisions. Our team supports graduate students with recruitment, admissions, advising, and career services functions. The position requires strong organizational skills, attention to detail, problem solving, and ability to manage multiple events and activities simultaneously. We strive to provide a welcoming environment that is focused on teamwork and student success.
The Administrative Assistant I will have daily interaction with office-related technology, filing/scanning, Outlook email, telephone, and in-person requests. The position will require the ability to independently execute assigned tasks and understand the complexities of our team and evolution of our programs. It is important that the role follows direction, organize and prioritize tasks, as well as pay close attention to detail. Emphasis is placed on providing excellent service to our students, staff/faculty, and guests.
Example of Duties
• Conducts basic research, gathers data, and prepares reports.
• Arranges calls and schedules meetings.
• Assists with making basic travel reservations and itineraries.
• Participates in regularly scheduled team meetings.
• Types correspondence, reports, or other documents.
• Edits documents for grammar, spelling, and punctuation errors.
• Assists with application processing and admissions communication.
Level Guidelines
• Entry level position acquiring job skills and learning standard operating procedures and policies to complete tasks
• Works under relatively close supervision and receives guidance on new work assignments
• Works on assignments which are routine in nature requiring limited judgment
• Refers difficult or less routine issues to supervisor or higher-level staff for assistance
• May provide guidance to students
Candidates must be legally authorized to work in the U.S. on an ongoing basis without sponsorship. Immigration sponsorship is not available for this position.
