POSITION SPECIFICS
The departments of Communication Arts and Sciences, Philosophy, and Applied Linguistics are seeking an on-site, customer-focused Administrative Assistant. This exciting role offers the opportunity to work at the heart of three dynamic academic departments, each with distinctive faculty, students, and activities.
It’s a position that blends independent problem-solving with teamwork, allowing you to make a real impact on the day-to-day functioning of the departments.
The Administrative Assistant will utilize organizational and multi-tasking skills to complete this position’s responsibilities, which include but are not limited to:
Greet and assist faculty, staff, students, and visitors in person, by phone, email, and Microsoft Teams with a professional and customer-service approach.
Manage office supplies, copiers, textbook orders, and conference or membership purchases.
Submit and track facilities work orders through Maximo and follow up on completion.
Sort and deliver department mail and packages between mailrooms.
Maintain department calendars, directories, databases, and listservs; assist with website updates.
Support department events and guest speakers, including travel and lodging arrangements.
Qualifications:
Applicants must have at least a year of administrative or office support experience.
Proficiency with Microsoft Office (Word, Excel, Outlook, Teams) and a willingness to learn university-specific systems (e.g., Maximo, listserv management tools) is preferred.

Outstanding organizational skills with high attention to detail and accuracy
Excellent interpersonal and communication skills (including when speaking with others in person, by phone, and electronically)
Ability to manage and prioritize multiple tasks effectively, while meeting deadlines in a busy work environment
MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS
General Equivalency Diploma (GED) or High School (HS) 2+ years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: None

SALARY & BENEFITS
The salary range for this position, including all possible grades, is $38,300.00 - $55,500.00.
