An exciting opportunity has opened up for an experienced operations professional with demonstrated timetabling expertise in an education environment to join our dynamic team in a collaborative, fast-paced, on-campus environment.

• Salary Package: From $99,161 per annum (HEW 6) plus 17% employer's superannuation contribution and annual leave loading
• Appointment Type: Full-time, continuing position
• Location: Macquarie University, Wallumattagal Campus (North Ryde)

THE ROLE

As an Operations and Testing Officer, you will manage critical timetabling and operational functions for Macquarie University College, while supporting English language test centre administration. This role requires exceptional organisational expertise, timetabling capabilities, and strong stakeholder management skills.

Some of your key responsibilities include:

  • Coordinate Macquarie University College (MQUC) timetables and class management, across multiple study periods, liaising closely with the central timetabling team,

  • Manage enrolments, registrations, and class changes, ensuring accurate and timely updates in liaison with the academic managers,

  • Prepare and maintain workload planners for continuing and casual teaching staff,

  • Collect, consolidate, and interpret data for student administration activities, including unit enrolment, class timetabling, examination scheduling, and results entry,

  • Coordinate the preparation and organisation of examinations and results, liaising closely with the central examinations team,

  • Update and maintain proposals and unit offerings in the Content Management System,

  • Support teaching teams in the appointment and administration of casual teaching staff, including induction, training, processing timesheets, and related communications,

  • Contribute to the development, implementation and improvement of administrative systems, processes and procedures,

  • Coordinate the maintenance of property, facilities and equipment for teaching and office spaces,

  • Support the delivery of College engagement activities and events,

  • Oversee and support the delivery of IELTS and PTE testing services, and

  • Perform any other duties as required and appropriate for this classification

You will have excellent communication and interpersonal skills, enabling you to build effective relationships with diverse stakeholder groups within the College and across the University. You will demonstrate initiative and the ability to work autonomously while contributing collaboratively to team objectives.

Your high-level technical proficiency and adaptability to new systems, combined with meticulous attention to detail, will ensure accurate and efficient operations. You will maintain confidentiality, discretion, and professionalism at all times.

Macquarie University College provides local and international students with alternative pathway programs to undergraduate and postgraduate degrees through our accelerated face-to-face learning model. The College delivers Foundation, Intensive, Diplomas, UniReady and Masters Qualifying programs, English language programs, and operates the IELTS and Pearson Testing Centre on campus. Essential Selection Criteria

  • Degree and/or equivalent experience in business administration, education administration or similar discipline,

  • Demonstrated experience and understanding of timetabling coordination and class management within a higher education or similar complex environment,

  • Proven ability to manage multiple operational priorities in fast-paced, high-volume environments,

  • Advanced data management, analysis and reporting capabilities

  • Excellent stakeholder engagement and relationship management skills,

  • High-level computer proficiency including MS office and experience with student management systems, and

  • Proven ability to maintain confidentiality and handle sensitive information appropriately.

Desirable Selection Criteria

  • Experience with University systems,

  • Knowledge of higher education administrative processes and frameworks,

  • Experience in English language testing (IELTS/ PTE) administration.
