Accounts Payable Specialist

What will you do in this role? As an AP Specialist you will

Processing

  • Process invoices for assigned Division(s) or Assigned processing function; meeting daily/weekly deadlines
  • Participate in check runs in the office as assigned

Review / QC

  • Reviews other AP Specialist batches performing a 1st review on AP batches.
  • Meets weekly and monthly processing metrics
  • Communicates all issues such as a work stop issues, IT issue, system issue or any other issues that hinder work from being done immediately

Mail

  • Date stamping all invoices that come in the mail
  • Sort and file invoices in electronic invoice filing system

Record Retention

  • Maintains and organizes accounting records/files
  • Complies and sorts of documents, such as invoices and checks, substantiating business transactions-Sorting the incoming mail as well as scanning it into the appropriate folder and directing mail to the appropriate responsible party
  • Saves required supporting documents for all AP batch types, with support and appropriate approvals

Customer & Team Focus

  • Assists associates, vendors/trade partners, clients, or customers by answering questions related to accounts, procedures, and services
  • Reconciles internal and external vendor reports and resolves discrepancies and problems and communicate with requestor in a timely manner
  • Maintains email by keeping invoices entered in a timely manner and answering internal or external request within 24 hours
  • Supports team members with duties as needed

General

  • Attends Accounting staff meetings as scheduled
  • Maintain compliance with all company policies and procedures
  • Respond timely to TEAMs, phone and or text during assigned hours
  • Perform related projects as assigned by Manager
  • Adherers to company work from home policy while working remotely

You Have:

  • Experience providing business support in a busy environment.
  • Experience of data input ensuring accuracy, and where appropriate, confidentiality.
  • Ability to work 40 hours a week
  • Good verbal and written communication skills, including ability to communicate with internal and external customers.
  • Ability to follow defined business processes
  • Ability to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service.
  • Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.
  • 2+ years Accounts Payable experience, bachelor's degree desired, but not required
  • Solid computer proficiency (MS Office – Word, Excel and Outlook)

  • Ability to maintain regular, punctual in person attendance in an in office setting consistent with the ADA, FMLA, and other federal, state, and local standards.
  • Must be able to lift and carry up to 25 pounds.
  • Must be able to talk, listen and speak clearly

  • Expected Salary: $25-28 Hourly - This position is eligible for additional performance incentives in the form of quarterly bonus opportunity.
