Academic Records Systems Analyst

The Academic Records Systems Analyst is a vital member of the Office of the Registrar, responsible for ensuring the accuracy, efficiency, and reliability of the Student Information System (SIS). This role focuses on three core functions: maintaining and testing academic records systems, developing reports, and ensuring institutional and regulatory compliance. The ideal candidate is detail-oriented, systems-savvy, and committed to meeting operational deadlines with precision and professionalism.

Position Specific Responsibilities/Accountabilities

Systems Maintenance & Testing

  • Perform regular system maintenance, upgrades, and quality assurance testing of SIS (e.g., Banner or similar platform).

  • Collaborate with IT and functional stakeholders to implement and test new SIS features, patches, or integrations.

  • Troubleshoot system issues and support resolution efforts to minimize disruption to academic processes.

Reporting & Data Analysis

  • Design, generate, and maintain reports and queries to support academic operations, compliance, and decision-making.

  • Work closely with institutional research, IT, and other departments to ensure accurate and timely data reporting.

  • Provide data extracts for audits, surveys, and internal/external reporting needs.

Compliance & Policy Support

  • Ensure academic records systems are in alignment with institutional policies, FERPA regulations, the National Student Clearinghouse and accreditation requirements.

  • Monitor and document system configurations, workflows, and changes to ensure data integrity and compliance. Responsible for reporting and error resolution to the NSC.

  • Support audits and internal reviews by preparing documentation and responding to inquiries.

Requisite Qualifications

  • Typically a Bachelor’s Degree or equivalent combination of education and experience. Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of regulation/policy changes.

  • Minimum 3 years of relevant experience in the areas of registrar/academic records/student systems preferably in an academic community.

  • Experience with Banner, Slate, Database management, Argos/Evisions and Workflows is preferred.

  • Demonstrated knowledge in the areas of: SQL and MS Access reporting tools, modern office practices and procedures; operation of various office machines; filing systems; proofreading; correct use of English, spelling, grammar; mathematical computations. Organizational skills and accuracy in recording tasks are essential.

  • With minimal supervision, perform academic record functions involving independent judgment and requiring accuracy. Stay informed on academic policies and regulations, as well as changes in office procedures.

  • Use good judgment in interpreting the rules, regulations, procedures, and policies of the University (which vary with each college) for the students and faculty, referring exceptions to the proper person for appropriate action.

  • Maintain confidence and confidential information.

  • Exemplary communication skills (both written and oral). Work effectively with all levels of the University organization, maintaining a friendly, courteous, fair, and yet firm disposition.

  • Proactive, self-starter

  • Demonstrated computer competency and preferably knowledgeable of Microsoft Office suite and student information systems (i.e. Ellucian Banner).

Salary range

$71,100.00 - $88,900.00 Salary commensurate with education and experience.
