The Role
We are seeking a proactive and detail-oriented Academic Governance and Curriculum Officer to support the delivery of academic governance and curriculum management activities and processes within the Faculty of Medicine, Health and Human Sciences (FMHHS).
Reporting to the Educational Governance and Initiatives Manager, this role provides secretariat and administrative support to the faculty’s academic committees, coordinates academic governance and curriculum-related processes, and contributes to the effective implementation of Faculty and University academic policies.
Key responsibilities include:
Providing comprehensive secretariat support for academic committees, including scheduling meetings, preparing agendas and minutes, coordinating documentation, and monitoring the implementation of action items.
Supporting the planning and coordination of Faculty-level governance activities and annual governance cycles.
Coordinating academic governance and curriculum-related processes, ensuring alignment with University policies, procedures, and standards.
Providing clear, timely advice and recommendations on governance and curriculum matters to academic staff, committees and stakeholders.
Liaising with the Deputy Vice-Chancellor (Academic) portfolio and central governance services to support curriculum change and annual review cycles.
Monitoring and reviewing curriculum processes to ensure the accuracy and integrity of information and compliance with policy requirements.
Providing administrative support for academic appeals, exceptions, and policy matters.
Contributing to continuous improvement of governance and curriculum systems and processes.

You are a well-organised, detail-oriented, and collaborative professional with extensive experience in secretariat and administrative support. You are adept at coordinating agendas, minutes, reports, scheduling, and annual planning, ensuring smooth operations across committees and academic teams.
Your strong customer service focus enhances stakeholder engagement, and your exceptional organisational and time management abilities enable you to consistently manage competing deadlines.
You bring a sound understanding of institutional policies and procedures, with the ability to interpret and advise effectively across diverse academic and governance contexts.

The Faculty of Medicine, Health and Human Sciences (FMHHS) at Macquarie University is dedicated to advancing learning, teaching and research that improves health and wellbeing. The Faculty works closely with clinical and industry partners to deliver innovative education and research outcomes.
You will be part of the Educational Services team, which provides strategic and operational support across course design, accreditation, and educational quality initiatives within the faculty.

Essential Selection Criteria
Tertiary qualifications in a relevant field and/or relevant experience.
Experience providing secretariat and administrative support, including agendas, minutes, reports, complex scheduling, and annual plans.
Experience in interpreting and providing advice and information across a range of policies and procedures
Understanding of governance process within Higher Education is highly desirable.
Experience in identifying, developing, and implementing process improvements.
Excellent organisational and time management skills, with the ability to deliver on competing deadlines.
Strong stakeholder engagement skills and a customer service focus, with the ability to work effectively with diverse stakeholders.
Strong written and verbal communication skills, and proficiency with Microsoft Office.
Desirable Criteria
Experience in a higher education environment, preferably within academic governance or curriculum management.
Strong knowledge of university governance frameworks, systems and processes.
